This policy applies to the GSSDF website, player accounts, event registrations, payment records, online submission tools and communications. By using these services, you agree to the practices described here.

Information we collect

• Account details such as name, phone number, email address and encrypted password credentials.
• Participant details required by a registration form, including player name, date of birth, contact information, school or coach details and other event-specific fields.
• Registration, payment and transaction references needed to confirm participation and provide support.
• Online-submission materials such as permitted files and YouTube links, where an event enables the Online Submission Vault.
• Technical information such as device, browser, IP address, cookies and pages used to help keep the service secure and reliable.

How we use information

We use information to create and manage accounts, process event registrations and payments, verify participant eligibility, administer competitions, provide certificates or results, respond to support requests, prevent misuse, and improve our services. We may also send essential service messages about an account, registration, payment or event.

Payments

Payments are processed through our payment service provider. GSSDF does not store complete card, UPI or banking credentials. We retain transaction identifiers and payment status information needed for reconciliation, registration support and legal or accounting obligations.

Sharing and visibility

We share information only where necessary to operate the programme: with authorised GSSDF personnel, event administrators, judges or coaches, payment providers, technology providers and authorities where required by law. Event results, certificates or galleries may show a participant’s name, category, achievement, image or video where this is part of the event or consent has been provided.

Children and parent/guardian information

Many GSSDF activities are intended for young participants. A parent, guardian, school or coach submitting details confirms that they are authorised to provide the information and make the registration. Please do not provide more personal information than the form requests.

Security and retention

We use reasonable administrative and technical safeguards, including access controls and secure account credentials. No internet service can promise absolute security. We keep information only for as long as reasonably required for events, support, accounting, dispute resolution, legal obligations and service improvement.

Your choices

You may request access to, correction of or deletion of personal information, subject to records we must retain by law or for legitimate operational purposes. You may also unsubscribe from non-essential communications where an unsubscribe option is provided.

Changes to this policy

We may update this policy when our services, legal requirements or operating practices change. The updated version will be posted on this page with a revised date.
